Managing PDF Visibility

Ensure your Streamline website meets WCAG 2.2 and ADA standards by managing PDF visibility and archiving files. This guide helps you control file access while maintaining compliance and accessibility for your district.

When reviewing PDFs in your Accessibility Dashboard, you have four visibility options to apply:

  1. Available
  2. Unpublished
  3. Archived
  4. Archived (Downloadable)

Cheat Sheet

Available

This status makes your file available to all website visitors. They can view and download any file with this level of visibility.

Unpublished

This status hides your files from website visitors. The file will be retained in your documents folder for your reference.

Archived

This status replaces the file with a link that includes a description, accessibility statement, and a formal request form for users to request access to the document.

Archived (Downloadable)

This status provides the same provisions as "Archived," but it also includes a link that visitors can use to download the inaccessible file at their own risk.

What is Considered Archived Content?

  1. The content was created before the date your government must comply with this rule, or reproduces paper documents or the contents of other physical media (audiotapes, film negatives, and CD-ROMs for example) that were created before your government must comply with this rule, AND
  2. The content is kept only for reference, research, or recordkeeping, AND
  3. The content is kept in a special area for archived content, AND
  4. The content has not been changed since it was archived.
