DocAccess Support: Your Documents Overview

The Your Documents section of the DocAccess Control Center it the place for managing, previewing, and sharing accessible documents


Set Auto-Enablement Preferences 

Enable any options that apply to automatically process and manage documents.

Be sure to select Save Preferences to apply any changes.


Filter Results:

Use the filtering tools to narrow down documents by URL, filename, ID, hash, domain, status, or hosting location. Select Reset Filters to clear all applied filters.

There is also an option to select single files or all files and enable or disable the DocAccess viewer. Select the Select All checkbox (or choose individual files), then click the Enable or Disable buttons.


Enabled

You can enable or disable the DocAccess viewer for a file by clicking on the toggle button.


Actions

The Preview button opens the DocAccess viewer for a file. Additional actions are also available:

  • Copy Link (clipboard icon): Copies a shareable link to the file.
  • Email (envelope icon): Sends the file to a recipient by email.
  • View Original (PDF icon): Opens the original PDF file.

File Name:

Displays the name of the file.


Date Scanned:

Displays the name of the file.

Next to the document date, a box displays a number that indicates how many pages on the website the file appears on. If the file is listed on multiple pages, the number reflects the total number of pages where the file was found.

Selecting the number opens the Document Links pop-up, which lists the pages where the file was found and provides links to navigate directly to each page.

In DocAccess, the Date Scanned field indicates the most recent time a full site-wide scan (spider) was completed.

Important notes

  • This date does not mean the website has not been updated since then.

  • New or updated files are still detected and processed automatically on an ongoing basis.

  • Because full site-wide scans run infrequently, the Date Scanned value is often in the past, which is expected.

For most customers, Date Scanned is informational only and does not require any action. DocAccess continues monitoring the site and picking up eligible files without needing another full scan.


Pages:

Indicates the total number of pages in the file.


Compliance:

Shows the accessibility issues that have been addressed and resolved for the file.

For a more detailed breakdown, select the Issues Addressed button. This will open a page with a full list of the accessibility issues that were identified and fixed.


⚙️ Settings

This opens the Document Settings, which include general information about the document and tools to help troubleshoot issues with your file in the DocAccess Viewer.

  • 🔄 Rescan Document
    Refresh the document to pick up any changes made to the original PDF.
  • ⚠️ Force Retranscribe
    Completely reprocess the document from scratch. The accessible version will be temporarily unavailable for 5-10 minutes. Only use this if the standard rescan doesn't resolve the issue
  • 📄 View Original PDF
    Open the original PDF in a new tab

Copy Document Link:

The Copy Document Link section allows customized shareable links to be generated for any document.

Two optional settings can be applied before selecting the Copy Link button.

With Accessible View Enabled

When this option is selected, the copied link will open the document directly in the accessible view using the DocAccess viewer.

  • Recipients who open the link will immediately see the accessible version of the file.

  • If this option is not selected, the document will open in its standard view, and users will need to enable the Accessible Transcript View toggle manually.
Translate To

This option generates a link that opens the document with Google Translate applied.

  • Selecting this option reveals a dropdown menu with Favorite Languages (commonly used) and Additional Languages.
  • Choose a language from the dropdown, then select Copy Link to generate a shareable, translated version of the document.
Using Both Options Together

Both checkboxes can be selected at the same time.

  • When both options are enabled, the generated link will:
    • Open the document in the accessible view, and
    • Apply Google Translate in the selected language.
Copying the Link
After selecting any desired options, click Copy Link to copy the customized URL. The link can then be sent or shared as needed.
